PRIMARY OBJECTIVES:
Provides administrative support to the CEO of EDGARfilings in Westlaw Business, as well as other Executive team members. Responsibilities include a variety of administrative tasks as well as dealing with all levels of the organization and internal /external customers including vendors, consultant, and other SBU's.
MAJOR AREAS OF ACCOUNTABILITY:
- Provides general administrative support which includes correspondence, filing and answering phones.
- Maintains executive's schedule, prioritizing items on a daily basis and ensuring that the appropriate information is made available for meetings.
- Handles and responds to informational inquiries, redirects them to the appropriate team member for resolution and track responses to ensure that the individual delegated responded accordingly.
- Composes and prepares correspondence, proofreading for correct spelling, grammar, punctuation, usage, and content.
- Prepares travel arrangements/itinerary for executive and department staff as needed.
- Manages the scheduling and advance preparation for all departmental meetings which include office functions, appointments and entertaining events. This includes scheduling the facilities, extending invitations, soliciting questions from the attendees in advance, researching answers and making sure the presentation is prepared.
- Prepares general presentations and collects data for content as necessary for the executive team.
- Responsible for tracking of budget updates, including running of monthly SAP variance reports and research of unfavorable variances to budget plan.
- Provide department updates with regards to organizational charts, phone lists and disaster recovery plans.
- Serve as Human Resource liaison (i.e. communicate/process necessary paper work in regards to new hires/transfers/terminations).
- Develop and maintain computer applications to track projects and information as necessary.
- Perform other duties as assigned.
QualificationsEducation /Experience (Minimum requirements)
- Two year degree required
- Minimum of five years administrative or office management experience.
- Experience in working within fast-paced, complex, dynamic, multi-cultural business environment.
- Proven oral and written communication abilities: demonstrated ability to work with a wide range of sensitive and confidential issues.
- Thorough knowledge of general office practices; resourcefulness in gathering data and getting answers to questions across an organization.
- Strong customer service orientation for both internal and external customers-ability to work with all parts of the organization.
- Strong attention to detail with the ability to work efficiently with complex information and ensure integrity of the work product. Ability to meet deadlines.
- Self-starter with ability to work with minimal supervision and manage workload effectively with competing demands for resources and time
- Proven organization skills.
- Ability to work overtime on a regular basis.
