Job Summary
The Speech Language Hearing Department is seeking an Administrative Assistant II to provide advanced administrative support to the department faculty members efficiently and effectively. This position will ensure that customer service provided to faculty, staff, and students is provided at a high level that meets service expectations.

Minimum Education and Experience

Bachelor's degree and five years of office administration or project management experience including two years at an Administrative Assistant I level or an equivalent combination of education and experience.

Preferred Education and Experience
PREFERRED EXPERIENCE:
  • Experience in administrative roles in a Higher Education setting is highly preferred but not required.
  • Experience with PeopleSoft and other UTD systems is preferred.
Essential Duties and Responsibilities
Duties & Responsibilities:
  • Monitor annual departmental spending and coordinate annual department budget requests in partnership with the Department Chair.
  • Manage the purchasing process for departmental supplies, equipment, and other required items.
  • Ensure that the lab ordering process is efficient through the development of standard procurement processes and effective communication with faculty and lab staff.
  • Maintain the asset management inventory for your assigned department and collaborate with Dean's Office staff to ensure that the annual inventory process is completed successfully.
  • Perform monthly reconciliation for assigned cost centers and facilitate interdepartmental transfers (IDTs) to correct inaccurate cost centers utilized for expenses.
  • Design and execute effective internal controls that provide reasonable assurance that operations are effective and efficient, assets are safeguarded, and financial information is reliable.
  • Work in coordination with the Speech Language Hearing faculty leadership and other administrative staff to facilitate travel for faculty, staff, and students.
  • Conduct OneCard transactions following UTD OneCard Guidelines, including reconciling assigned OneCard by the monthly due date.
  • Process travel and reimbursement requests for faculty and lab staff.
  • Coordinate meetings, special events, conferences and lectures.
  • Assist faculty with the recruitment process of faculty, lab staff, post-docs, and student workers.
  • Work with departmental faculty to ensure that their annual CV and Professional Activities/Accomplishments are updated successfully.
  • Collect faculty accomplishments and accolades throughout the year and provide them to the Dean's Office staff for publicizing.
  • Manage incoming mail and parcels to include distribution to faculty and staff members.
  • Provide backup administrative support for all areas of the Speech, Language, and Hearing department as needed.
  • Develop, cultivate, and maintain working relationships with internal/external departments/agencies/and other organizations associated with and/or receiving benefits from the faculty that are supported.
  • Ensure compliance with applicable laws, regulations, policies, and procedures.
  • Perform other duties as assigned or required.

  • Excellent verbal and written communication skills.
  • Excellent customer service skills
  • Detail-oriented with the ability to multi-task, prioritize, and complete tasks within deadlines.
  • Ability to work both independently and cooperatively with others.
  • Above average proficiency in MS Office Suite (Outlook, Excel, Word, PowerPoint) is a must.

Remote Work Notice
After the probationary period, this role may be eligible for a hybrid (partly remote/partly in office) work schedule, subject to business need and manager approval. Employee must be located within the Dallas/Fort Worth Metroplex area and have the ability to be on campus for work activities as scheduled and/or with 24-hour notice. Completion and approval of a UT Dallas Remote Work Agreement will be required upon employment, and use of personal computer, internet, and other standard equipment may be required. Remote work arrangements are subject to regular review and re-approval and may be canceled at any time.
