Job Description
Performs specialized work to enhance effectiveness of the academic credentialing, compliance reporting, and faculty performance evaluation. Serves as customer service liaison to the Budget Office, HR, Payroll Office, University Scheduling, Research & Sponsored Programs, Institutional Research and Improvement, Office of Information Technology, and academic departmental and Dean's offices. Responsibilities include preparing reports and data for the Faculty Success unit. Work is performed under the supervision of the Vice Provost for Faculty Success, and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS
Reports to: Vice Provost for Faculty Success
Supervises: May supervise student assistants

ESSENTIAL DUTIES - May include, but not limited to the following:
  • Serves as customer service liaison to the Budget Office, HR, Payroll Office, University Scheduling, Research & Sponsored Programs, Institutional Research and Improvement, Office of Information Technology and academic departmental and Dean's offices.
  • Prepares accurate data for credentialing, faculty performance review, The Texas Higher Education Coordinating Board and SACSCOC to share with Provost and academic departments.
  • Reviews and analyzes all Manager Self-Service (MSS) transactions for all GTA's, GAS's and GAW's to ensure accuracy of processing.
  • Maintains regular and adjunct faculty files and processes documents for incorporation into files, including scanning of credentials, salary notices, transcripts, letters, and licenses.
  • Scans and indexes regular and adjunct faculty files into OnBase as a secure safeguard and records retention.
  • Enhances the organizational strategies to ensure SACSCOC compliance. Assists in establishing compliance standards and designing improvements to internal structure.
  • Maintains faculty performance review files and processes documents.
  • Coordinates and collaborates with the Office of Information Technology to ensure effective faculty performance review workflow and processes.
  • Coordinates with academic components and the Provost's Office to maintain current and up-to-date workflow for faculty performance review.
  • Maintains files and committee records, in collaboration with the Provost's Office, for the University Promotion and Tenure Committee and special performance review committees.
ADDITIONAL DUTIES
  • Answers general routine, processing, and procedural questions and notifies departments of changes or corrections needed related to credentialing, academic compliance, and faculty performance review.
  • Monitors mail log system for transcripts and faculty performance review.
  • Performs other duties as requested.

Bachelor's degree in an area generally related to program content or assigned responsibilities preferred. Two years of experience in a generally related area.

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

KNOWLEDGE, SKILLS, AND ABILITIES - The following are essential:
  • Knowledge of applications for data management systems for higher education environment.
  • Knowledge of human resources and payroll systems and processes.
  • Working knowledge of office practices and methods.
  • Ability to use data base applications and tools, personal computer applications.
  • Knowledge of customer service and business process improvements tools.
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
  • Ability to establish and maintain effective work relationships with faculty, staff, and the public.
  • Ability to communicate effectively orally, by phone, in person, and in writing.
  • Ability to represent the department and University in a friendly, courteous, and professional manner.
  • Ability to use a personal computer and other office equipment, including related university software and email.
