TITLE

School of Occupational Therapy Experiential Learning Support Specialist - OT DEN

JOB SUMMARY

Performs responsible and complex office support duties for the Associate Director of the School of Occupational Therapy in Denton with the purpose of increasing the effectiveness of occupational therapy programs in Denton, as well as facilitating smooth operations for the fieldwork and capstone administration in Dallas and Houston. The employee is required to assume considerable responsibility for office efficiency and database management. Work assignments involve continuing responsibility for designated activities and may result from collaboration with the Academic Component Administrator. A thorough knowledge of the policies and procedures of the employing unit as well as a familiarity with overall University policy is necessary to conduct the assigned work. The individual is responsible for determining methods and procedures to be used, priority of work assignments and necessity for review by the administrator. Work includes public contact in interpreting and promoting the department's programs and rendering administrative decisions. Work is performed under general supervision and performance evaluation is based upon completion of assignments and results obtained. The performance evaluation is conducted through the performance evaluation system and in accordance with the University Policies & Procedures.

ORGANIZATIONAL RELATIONSHIPS

Reports to: Academic Fieldwork Coordinator

Supervises: May supervise Student Assistants

ESSENTIAL DUTIES - May include, but not limited to the following:

  • Submits and maintains all experiential learning contracts/agreements for the SOT across all three campuses to be sure they are current, accurate, and properly signed.
  • Stays current on policies and procedures and interprets each concerning the School of Occupational Therapy.
  • Examines correspondence, determines work priorities and schedules, and supervises student workers in the Denton SOT.
  • Prepares memoranda to communicate with students, experiential learning site contacts, TWU General Counsel contacts for accuracy and proofreads out-going correspondence.
  • Compiles or supervises the gathering of information for student fieldwork admission, progression, retention and completion.
  • Answers correspondence as assigned without constant need to consult the administrator.
  • Maintains confidential records and files.
  • Coordinates work with other campus departments, and with the SOT in Dallas and Houston as needed.
  • Works collaboratively with the Coordinator of Academic Program Support, Coordinator-SOT Experiential Learning Support, Academic Fieldwork coordinator, Capstone Coordinator, Faculty Fieldwork Associates, and support staff in Dallas and Houston on departmental and institutional matters pertaining to experiential learning, and supplying information from a variety of sources.
  • Covers for the Coordinator-SOT Experiential Learning Support on a short term basis as needed.

ADDITIONAL DUTIES

  • Assists with the efficient running of the OT Denton office with general office support and coverage.
  • Assists with OT DEN student and faculty events as needed.
  • Performs other duties as requested.

EDUCATION

High school diploma or equivalent required. Bachelor's degree preferred.

EXPERIENCE

Three years of progressive responsibilities in clerical duties, preferably with experience in database management, event coordination, and inventory management.

REQUIREMENT

Regular and reliable attendance at the University during regular scheduled days and work hours is an essential function of this position.

  • Ability to coordinate work with other employees, providing direct instruction or supervision as assigned.
  • Ability to organize work effectively, conceptualize and prioritize objectives and exercise independent judgment based on an understanding of organizational policies and activities.
  • Ability to establish and maintain effective work relationships with students, faculty, staff, and the public.
  • Ability to communicate effectively orally, by phone, in person, and in writing.
  • Ability to represent the department and University in a friendly, courteous, and professional manner.
  • Ability to use a personal computer and other office equipment, including related university software and email.

PHYSICAL DEMANDS
