The Workplace Experience team is a team who serve as community ambassadors and service providers in our award-winning Headquarters in the Seaport area of Boston. As our Workplace Experience Coordinator, you are our operations and facilities point person, navigating employee requests while managing our physical space and our relationships with building contacts, vendors and internal partners. You are empowered to independently make high-quality decisions, solving immediate challenges and playing an integral role in the day to day planning and operations necessary to keep our facility running at optimal efficiency. You will foster quality employee experiences by creating and maintaining an environment that is hospitable, effective, and supports collaboration. The Workplace Experience Coordinator is essential in creating a friendly and welcoming environment, playing a key role in the day to day planning and operations necessary to keep our HQ running at optimal efficiency.

What You'll Do

  • Be our facilities and logistics go-to, working closely with our building partners and vendors to maintain our office space, ensuring quality on-time service and efficient practices, keeping our office in tip-top shape, and creating a welcoming environment for all who enter our doors
  • Monitor and respond to our internal ticketing system and various other communication portals including Teams, providing excellent customer service along the way.
  • Use your impeccable organizational skills to manage packages and UPS and Envoy mail systems, and ensure our HQ's mail room is efficient and responsive.
  • Support our workplace programs with onboarding, offboarding, ergonomics and other initiatives that impact the daily employee experience.
  • Work alongside our Executive Assistants, IT and People Teams, Meetings and Events Manager, and Catering Manager to coordinate calendars, room reservations, catering, space preparation, tech and other facilities support essential to the execution of seamless on-site events that leave employees, partners, and clients feeling inspired, valued, and connected.
  • Handle confidential and/or sensitive departmental matters with discretion and tact.
  • Proactively develop relationships with key internal partners, gaining recognition as a team resource and go-to person for office related questions.
  • Create an environment of "I'm here to help!" and "Let's find out together" to provide employees and visitors with answers for day-to-day questions

What You'll Need

  • You possess 2+ years of relevant working experience in a professional office, hospitality or retail operations environment.
  • This is an onsite role in the Seaport office and is expected to be onsite during the core business hours of 8am - 5pm, Monday - Friday. Earlier and/or later hours may be required on occasion to support after hours work, events, or initiatives.
  • Ability to work with basic maintenance tools such as screw drivers, drills, stud finder, etc. and comfortable with basic troubleshooting diagnostics.
  • Comfortable meeting and engaging with new people with a warm demeanor, being able to assess circumstances, empathize and offer help.
  • Intermediate skills with Microsoft Office Suite products such as Word, Excel, PowerPoint, Outlook, etc. Desire to learn new technologies and digital tools.
  • Ability to work requiring significant walking or through other means of mobility. This includes standing in position for extended periods, reaching, bending, stooping, pushing and/or pulling and frequently lifting up to 50 lbs.
